What is a WhatsApp chatbot for business?
People mean two different things by a WhatsApp chatbot. The first is the free WhatsApp Business App, with greeting and away messages, quick replies and a catalog. It is useful but cannot run multi-step flows or connect to your booking system, CRM or store.
The second is a bot built on the WhatsApp Business Platform, still widely called the WhatsApp Business API. A WhatsApp Business API chatbot receives each message through a webhook, decides what to do and replies through the API. It can be a decision tree, a language model or both, connected to your own systems. This guide covers the second kind.
What can a WhatsApp chatbot do? Four common use cases
1. Answering frequently asked questions
Opening hours, delivery areas, returns, sizing, payment options: a few dozen recurring questions dominate most inboxes. Answering them instantly frees your team for conversations that need judgment. Source answers from one maintained knowledge base, not hard-coded replies scattered across flows.
2. Bookings and appointments
Clinics, salons, restaurants and studios can let customers pick a service, see open slots and confirm a booking without leaving the chat. The bot should write directly to your calendar, confirm, and later send a reminder through an approved utility template. Make rescheduling and cancelling as easy as booking.
3. Lead capture and qualification
When someone messages from a Click-to-WhatsApp ad or a product page, the bot can ask a few qualifying questions (need, timeline, budget, location), create a lead in your CRM and route it to the right salesperson. Keep it to three or four questions.
4. Order status and post-purchase support
"Where is my order?" is a staple e-commerce question. Connected to your store, a bot can show the status and tracking link and open a ticket if something is wrong. Verify identity first, for example by matching the order number to the phone number on file.
How does the WhatsApp Business API work?
The setup has five parts:
- A Meta business portfolio that owns your WhatsApp assets.
- A WhatsApp Business Account with one or more phone numbers and an approved display name.
- Access to the Meta-hosted Cloud API, directly or through a Business Solution Provider that adds tooling.
- A webhook where incoming messages and delivery statuses arrive and your bot logic runs.
- Integrations with your CRM, calendar, store, helpdesk and knowledge base.
Session messages vs template messages
The key rule is the customer service window. When a customer messages you, a 24-hour window opens and restarts with each new message from them. Inside it, you can send free-form messages: text, media, documents, buttons and lists. Outside it, you can only start a conversation with a Meta-approved message template.
Templates fall into three categories, which affect review and pricing:
- Utility: updates tied to something the customer did, such as order confirmations, shipping updates or appointment reminders.
- Authentication: one-time passcodes for login or verification.
- Marketing: promotions, offers, re-engagement and anything that fits neither of the above.
Use variables such as name, service, date and time so a few templates cover many situations. Meta rejects templates that start or end with a variable or consist mostly of variables. A simple utility template:

Business verification, quality rating and messaging limits
New business portfolios start with a low limit on how many people they can message outside the service window in a rolling 24-hour period. Business verification is one way to raise it; consistently sending high-quality templates is another. Limits are shared by all numbers in a portfolio, while each number keeps a quality rating shaped by blocks and reports. Meta revises these rules, so check the current documentation.
Rule-based vs AI chatbots: which should you choose?
It depends on how predictable your conversations are and what a wrong answer costs.
Rule-based bots
Rule-based bots follow designed flows of buttons, lists and keyword matching: predictable, cheap to run and easy to audit, ideal for bookings, order lookups and lead capture. A reply-button message allows at most three buttons, so use a list message for longer menus. Their weakness is anything off-script.
AI chatbots
An AI chatbot for WhatsApp uses a large language model to understand free-text messages in many languages and answer from your approved content. It handles messy questions far better but needs guardrails: a curated knowledge base, limits on what it may promise, tools that look up real data, and reviewable logs. Since January 2026, WhatsApp's Business Solution Terms bar general-purpose AI assistants from the platform; AI that serves your own customers, such as FAQs, bookings and support, remains allowed. Most businesses do best with a hybrid: AI for knowledge questions, structured flows for transactions, and people for exceptions. Decide where each piece fits:
- If the answer must be exactly right (prices, refunds, medical or legal matters), take it from a system or a person.
- If the task has fixed steps (booking, order lookup), use buttons or a WhatsApp Flows form.
- If questions are varied and informational, use AI grounded in your knowledge base.
- If emotion or money is involved (complaints, disputes), route to a person quickly.
How to hand off from a chatbot to a human agent
A bot that traps people is worse than no bot. Meta's Business Messaging Policy also expects automated experiences to offer a clear escalation path to a human or another channel. Build the handoff deliberately:
- Offer a visible "Talk to a person" option, and accept plain-language requests for a human at any point.
- Trigger handoff automatically on repeated failed answers, negative sentiment, high-value orders or sensitive topics.
- Pass the full context to the agent: history, customer details, detected intent and collected data.
- Tell the customer what happens next and when, especially outside business hours.
- Pause the bot while a person owns the conversation; the agent hands it back or closes it.
- Review handed-off conversations weekly; they show what to automate or fix next.
Privacy, consent and opt-in on WhatsApp
WhatsApp is a personal channel. Treat consent and data protection as design requirements:
- Collect opt-in before business-initiated messages, stating clearly what kind of WhatsApp messages the customer will receive.
- Honor opt-out requests, such as a simple STOP, immediately and sync that status across your systems.
- Collect only the data you need, explain chat data use in your privacy notice, and set retention periods.
- Never ask for full card or bank account numbers, national ID numbers or passwords in chat (WhatsApp's policy prohibits it); send a secure link instead.
- If you use an AI model, check where conversation data is processed and whether the provider retains it.

Can I keep my existing WhatsApp Business number?
Usually, yes. Where Meta's coexistence option is available, a number already used in the WhatsApp Business App can be connected to the Cloud API through a provider's onboarding flow and keep working in the app, with some feature limits. Otherwise the number moves to the Platform and stops working in the app, so check with your provider before migrating.
